How to compare chatbot providers fairly

A shortlist is useful when its criteria survive a change in the preferred vendor.

Use one brief for every candidate

Write a short description of the account, the supported workflow and the acceptance criteria. Ask every provider the same questions about reply mode, permissions, billing, handover and data handling. A comparison becomes misleading when one product is judged on promises and another on observed faults.

The comparison tool presents public positioning and links to the provider’s own pages. It does not imply that every stated feature has been independently verified. Use the trial questions to turn a directory entry into a checkable requirement.

Distinguish claims, observations and unknowns

A vendor page establishes what a provider says it offers. A controlled test establishes what happened in that test. Neither establishes guaranteed future results. Keep those evidence types separate in your notes. Leave a field unknown when the information is missing.

Avoid turning feature counts into a universal score. A workflow can fail despite a long feature list if the one control you need is missing. Equally, a focused product may be suitable even if it does not replace the rest of your stack.

Make the commercial relationship visible

Compare the price basis and contract terms using current written information. Decide on a trial with an exit path and named owner. Record why you selected the product and which uncertainties remain, so the decision can be revisited when the operation changes.

Create a comparison that survives a preferred vendor

Choose the requirements before selecting the candidates. Write which capabilities are mandatory and which are useful but optional. If a provider is listed because it fits a category, say so; do not imply that category inclusion establishes its quality. Use the same criteria for your own product as for another provider.

Label evidence by type. “Documented” means the provider describes the feature in a linked source. “Observed” means a named evaluator has a dated record of the configured behaviour. “Unknown” means the answer has not been established. This publication currently supplies documented positioning and questions for evaluation; it does not claim a hands-on benchmark.

Normalise the commercial scenario: account count, billing period, eligible sales base, usage and required human work. A lower headline subscription can come with a different included allowance, while a higher fixed fee can bundle another required category. Avoid giving an overall score until the actual requirements and evidence justify it. A shortlist can be useful without inventing a league table.

Two candidates, one agency brief

Illustrative brief: a team needs separate operator roles, reviewable conversation context and a written explanation of attributed sales billing.

  1. Ask both candidates to demonstrate a restricted operator role using the same permitted tasks.
  2. Ask each to walk through one synthetic conversation and identify the source of the displayed context.
  3. Request a worked invoice for the same account and sales assumptions, including any fixed fee or included usage.

A candidate can fit the chat category yet fail a mandatory team requirement. Conversely, a capable CRM may need a separate conversation tool.

Record unknown answers as questions. Do not fill gaps with assumptions from a similar product.
